Most people never ask. Most managers can approve a one-off expense without any formal policy existing — the budget is usually theirs, not HR's. Here is the email, and the answers finance will ask for.
The email

Fill in the brackets and send it. It is deliberately short and ends in a closed question, so it can be answered in one word.
Subject: Approval for AI training — $[amount] Hi [name], I'd like to do the [programme] with TAI Labs. It is practical AI training built around real work rather than a lecture course: I'd be building agents and workflows on the kind of tasks I actually do here, and bringing them back. The two brackets worth spending time on are the tasks you would point it at. A manager approves a number far more easily when it is attached to work they recognise.

For finance

- What is being bought?
- Practical AI training and the tooling it runs on. Individual memberships are month-to-month and cancel any time; the Career Accelerator is a fixed-length programme; team training is scoped and quoted per rollout.
- How is it invoiced?
- Card payment issues an itemised invoice immediately, and the full invoice history sits under Billing in the account. For team training we invoice on agreed terms after the scoping call.
- What happens to our data?
- The security page sets out what is stored, what is sent to model providers and what you can control. Saved logins used by agents are encrypted and the password is never sent to a model.
- What does the company get back?
- Assessed work rather than attendance. Certifications are verifiable from a public URL, so a manager can check a credential without taking anyone's word for it.
